Key terms used in this Policy:

• AnantaX Technologies (“OwlWA”, “we”, “us”, or “our”) is the company that collects and processes Personal Data for the purposes described in this Policy.
• Personal Data is any information relating to an identified or identifiable natural person (“Data Subject”).
• Customer or Client is a legal business entity with whom we have an agreement to provide the Services.

OwlWA is an AI-powered WhatsApp Automation and multi-channel engagement platform operated by AnantaX Technologies. The product provides a conversation and messaging platform with WhatsApp Business API that allows our Customers to store, manage, analyze, and transfer messages between their business systems and their customers across OwlWA-provided and supported messaging channels (the “Service”).

OwlWA is committed to the protection of Personal Data, including data that we use for our own purposes, and data that we maintain on behalf of our Clients.

OwlWA collects information, including Personal Data, for the following purposes:

• Providing and managing the Service
• Internal business purposes (communicating with you, marketing, and improving our offerings)
• Collecting payment for the Service (when paid plans are active)
• Understanding and improving our Service and Website
• Security, fraud prevention, and legal compliance

To provide our services, we may collect your name, email address, phone/WhatsApp number, company name, and related business details, and store them on secure systems. These details are used to identify users, respond to requests, and deliver the Service.

For a better experience, we may require certain personally identifiable information directly or indirectly (for example account credentials or OAuth tokens for integrations). Information we request is retained and used as described in this Privacy Policy.

The Service may use third-party providers that process information to help us operate. Examples may include authentication, hosting, analytics, email delivery, and Meta/WhatsApp platform services. Those providers process data under their own policies and our instructions where applicable.

This Policy is not intended to limit what we do with data that is aggregated and/or de-identified so it is no longer associated with an identifiable individual or Customer.

OwlWA Services are not directed to children under 16. If you learn that a child under 16 has provided us with Personal Data without appropriate consent, please contact us.

OwlWA sends and receives messages using Official WhatsApp Business API / Cloud API infrastructure operated in connection with Meta platforms. Messages may be stored temporarily as needed for transmission and delivery. Platform-side message retention is also subject to Meta/WhatsApp policies (for example, temporary cloud storage windows).

In the course of providing the Service, OwlWA may receive, access, analyze, process, and maintain Personal Data on behalf of our Customers. Our Customers determine the types of Personal Data collected within the Service, how it will be used and disclosed, and how long it will be stored. For questions about how a specific Customer uses your Personal Data in chats, contact that Customer directly.

Service Data

Service Data is information processed on behalf of our Customers during provision of the Service (for example contacts, conversations, campaign audiences, and related metadata).

• Service Data is primarily controlled by the Customer. OwlWA acts as a processor/service provider for that Customer unless otherwise agreed.
• Your data is stored on secure cloud infrastructure and we apply encryption and access controls appropriate to the sensitivity of the data.
• If you require deletion of account data OwlWA controls, request it via https://www.owlwa.com/data-deletion or email hello@owlwa.com.
• Upon termination of a Customer account, Customer Service Data is deleted or anonymized from our active systems according to our retention schedule and agreement, unless a longer retention period is required by law or expressly requested for export/transition.

Account Information

Account Information — including contact details, user profile information, and authentication data — may be collected when you register, request a demo, join a waitlist, or authenticate into the Service. We use it to manage access, provide support, and communicate with you.

Billing and Tax Information

When you subscribe to a paid plan or purchase add-ons, we may collect commercial details such as company name, business address, and tax identification numbers (for example GST/VAT). We use this information to generate invoices, calculate applicable taxes, and comply with tax/regulatory requirements.

Service Usage Information

We collect information about how you access and use the Service to understand and improve OwlWA, and to investigate and prevent security issues, abuse, and fraud.

We collect information through our Website, social channels, and forms for the following purposes:

1. Responding to product demo requests — we may collect name, job title, WhatsApp number, business email, and company information to facilitate your demo.
2. Responding to inquiries — when you contact us, we may ask for identifying information needed to answer your question and improve customer service.
3. Informing you about products and services — we may use your contact information for marketing related to OwlWA. You can opt out of marketing emails at any time, or request deletion of your contact details.

We do not sell or rent your Personal Data.

As a matter of practice, OwlWA does not disclose, trade, rent, sell, or otherwise transfer Personal Data except as set out in this Policy. We may transfer or disclose Personal Data as follows:

1. Service provider arrangements — third parties that process data on our behalf (for example hosting, database operations, email, analytics, customer support tools) under our instructions.
2. Changes to our business structure — merger, acquisition, financing, reorganization, or sale of assets, including related due diligence.
3. Compliance with laws — to meet legal or regulatory requirements and respond to lawful requests, court orders, and legal process.
4. Enforcing our rights, preventing fraud, and safety — to protect and defend the rights, property, or safety of us or third parties, including investigating abuse or fraud.

If we receive a request about Personal Data we process on behalf of a Customer, we will typically direct the individual to that Customer and assist the Customer where appropriate.

OwlWA takes the security of user data seriously. We take steps designed to protect information from loss, misuse, and unauthorized access or disclosure, considering the sensitivity of the information and the current state of technology. No method of transmission or storage is 100% secure.

OwlWA uses cookies and similar technologies to record log data and improve site experience. We may use both session-based and persistent cookies.

OwlWA serves Customers in India and globally. If you access our Website or Service from outside India, your information may be processed in India or other jurisdictions where our providers operate, subject to appropriate safeguards where required.

This Privacy Policy may be updated periodically to reflect changes to our Personal Data handling practices. The revised Policy will be posted on the Website with an updated “Last updated” date. If you continue to use the Service or Website after changes take effect, you acknowledge the revised Policy.
